RECEPTIONIST

Job Description :

As a Receptionist you will report to the Management Assistant / Office Manager of the Management team and work closely with the Scanning Officer. This colleague is your back up. Together you control the reception area and work in shifts from 8 am to 6 pm. You be responsible for:

  • Monitor and control the reception desk.
  • Answer and forward all phone calls and respond to inquiries.
  • Welcome guests, clients and visitors.
  • Manage general meeting room calendar.
  • Manage and control the availability of parking spots.
  • Prepare meeting rooms (set up conference services).
  • Book external meeting rooms.
  • Order (business) lunches.
  • Arrange car services for guests.
  • Order office groceries (like AH and coffee) and maintain the office supply inventory.
  • Arrange couriers.
  • Control incoming and outgoing mail.
  • Ensure general tidiness of the office.
  • Support the organization of events.
  • Co-ordinates agenda with local staff, supplies route description, parking / taxis / room facilities etc.
  • Be the point of contact for all employees of the company with respect to support, in the broadest sense of the word.
  • Ensure that all daily tasks are handled properly and that the priorities are held correctly.

Your Profile :

  • You are fluent in both spoken and written Dutch & English;
  • You have a good command of the Microsoft Office package including Word, Excel, and PowerPoint;
  • You have the ability to work to multiple deadlines;
  • You are highly client-oriented;
  • You are highly organized and structured with attention to detail;
  • You are dynamic and have excellent communication skills;
  • You are a self-starter, able to multitask;
  • Diplomacy, stress resistance and discretion are essential qualities.
